Understand Kontentino’s user roles and permissions so you can control access, protect your workflow, and give each team member exactly what they need.

Kontentino roles and permissions help you control who can create, approve, publish, and manage content - without overcomplicating access.


Available user roles

Admin

Best for account owners and team leads.

  • Full access to all features

  • Manage all users, all profiles, billing, and company settings

  • Invite other Admins

Manager

Best for project managers and senior team members.

  • Create, edit, schedule, and approve posts in all statuses

  • Manage billing and company settings

  • Manage other users (except Admins) who have access to the same social media profiles (i.e., if someone doesn't share any profiles with you, or they don't have any social media profiles assigned, you will not see them in the list of users - only admins can see and manage them)

  • Manage social media profiles that are assigned to them; connect new profiles

  • Access analytics and reports

Client

Best for external reviewers.

  • View posts only in specific statuses (Pending client approval, Approved by client, Client rework, Scheduled, Posted, Exported in advance (FB only))

  • Approve or request changes; send comments on posts

  • Add inspirations to the calendar

  • Download assets and upload media into the Media library

Designer

Best for visual creators.

  • View posts in all statuses

  • Edit and download the visuals in the posts

  • Access the Media Library and upload media

  • Complete tasks and assign tasks to other teammembers

  • Add notes and comments to the posts

Translator / Copywriter

Best for writers and editors.

  • View posts only in specific statuses (Assigned, Done, Pending internal approval, Internally approved, Internal rework, Client rework)

  • Edit text and translations in the posts

  • Work on copy-related tasks

  • Access the Media Library

  • Complete tasks and assign tasks to other teammembers

  • Add notes and comments to the posts

Media Agency

Best for advertising partners.

  • View posts only in specific statuses (Pending client approval, Approved by client, Scheduled, Posted, Exported in advance)

  • Limited operational access (e.g., no access to the communication section, Analytics, Media Library, etc)

Can permissions be customized per user?
Yes, via custom permission configurations. Contact us to have the custom permissions enabled.

Can I change a user’s role after they’ve been invited?

Yes! Go to Settings β†’ Users, select the user, click Edit, and change their role from the dropdown. The new permissions take effect immediately.

What happens to content when a user is deleted?
All content stays in Kontentino.

How do clients approve posts?
Invite them with the Client role and send posts for client approval.
