What Happens When You Remove a User in Kontentino

What happens with your colleague's scheduled content and what your team needs to do

When someone leaves your team or no longer needs access to Kontentino, you can remove their account. This article explains what happens to their scheduled content, what you should check afterward, and how to make sure nothing slips through the cracks.


What happens after you delete a user

Access

  • The user loses access immediately — they can’t log in to Kontentino (web or mobile).

Drafts, Tasks, and Assigned Items

  • Drafts, assigned tasks, and other content created by the user remain in Kontentino and are still visible to your team.


What happens to scheduled posts

What happens to scheduled posts depends on how the social media profiles were connected in Kontentino.

If the user connected the profiles themselves

(using their own access token)

If the removed user originally connected the social media profiles in Kontentino using their own login and access token:

  • Their access token is removed from Kontentino when the user is deleted

  • Scheduled posts created using that token will NOT be published

In short:
👉 If the user owned the connection, the posts will not be published, and their post status will change to Failed once the scheduled time passes.


If the profiles use a shared access token

(connected by someone else and shared with the team)

If the social media profiles were connected by another team member and shared using a shared access token:

  • The access token remains active after the user is deleted

  • Scheduled posts WILL continue publishing as planned, even if the user who scheduled them no longer exists in Kontentino

In short:
👉 If the connection is shared, the posts keep going live (unless the person who shared their access token is also removed, or stops sharing their access token)

What to check before removing a user

To avoid unexpected publishing issues, make sure the following is reviewed before removing a user from Kontentino.

1. Check whether the profile connection is shared

The user who is about to be removed should go to My profile → Authorization.

Next to each connected social media platform, check whether there is a shared token icon with a tooltip saying:

Posts can be scheduled and published using a shared token.

  • If the shared token icon is present, the connection is shared and safe.

  • If the icon is missing, the profile is connected using the user’s personal access token.

2. Take action if the connection is not shared

If the profiles were connected by the user themselves and are not shared:

  • All scheduled posts using those profiles will fail after the user is removed

  • To prevent this, the content must be:

    • Rescheduled by another team member who will remain active in Kontentino, or

    • Rescheduled by the same user after a shared access token is enabled by someone else on the team

💡 Best practice: Token-sharing is optional; however, we recommend it to ensure a smooth scheduling and publishing process, minimize the friction in team workflows, and reduce client dependency when working with connected social media pages in Kontentino.


Quick rule of thumb

  • ❌ Personal access token → posts won’t publish after user removal

  • ✅ Shared access token → posts will publish as scheduled


Other offboarding checklist items

While the user is still active, it’s a good idea to reassign their tasks and approval requests to another team member to make sure nothing gets missed.

For a quick overview, the user can see all their tasks and pending approvals on their Home page. The assigned tasks can be found in the My tasks section. Awaiting approvals can be accessed below the tasks section → Waiting for section → By user view

While removing a user from Kontentino stops their access to your workspace, you may also need to handle related access outside Kontentino:

Social network access

  • Remove their access from the social media platforms' settings to prevent lingering permissions

  • Change relevant social account passwords if they were saved or shared

GDPR and data security

  • Ensure the user’s access to personal data and customer information is revoked to stay compliant with privacy standards.


Removing a user from Kontentino is straightforward, but taking a few extra steps ensures your team’s workflow and scheduled posts continue without interruptions. Always review profile connections, reassign tasks, and secure external access before completing the removal.
