What Are Labels?

Labels are color-coded tags you can assign to posts for better organization and quick identification.

Think of them as customizable folders for your content - except a single post can have multiple labels.

Creating Labels

There are two ways to create labels:

  • While composing a post (most common)

  • Through the label management settings

Creating a Label While Composing a Post

The quickest way to create a label is directly in the post composer:

  1. Open a post in the composer (new or existing)

  2. Find the Labels section in the right sidebar and click to expand it

  3. Type your label name in the input field

  4. Press Enter or select “Create [label name]” from the dropdown

  5. Your new label is created and automatically assigned to the post

💡 Tip: Labels must be between 2 and 500 characters. Keep them short and descriptive for easy scanning.


Label Colors

Each label has a background color that makes it easy to spot at a glance.

  • When you create a label, a random color is assigned

  • You can customize colors in:
    Settings → Profiles → select a profile → Labels

  • Text color automatically adjusts (white or dark) for best readability


Assigning Labels to Posts

Adding Labels in the Post Composer

  1. Open the post you want to label

  2. Click on the Labels section in the right sidebar to expand it

  3. Select from existing labels by clicking them in the dropdown, or

  4. Use Recent Labels (your 6 most recently used labels appear below the input)

  5. Create new labels by typing and pressing Enter


Quick Selection from Recent Labels

Below the label input, you’ll see your 6 most recently used labels.

  • Click any of them to instantly add it to your post - no typing required


Multiple Labels Per Post

You can assign as many labels as you need to a single post.

The composer shows:

  • Up to 2 labels in the preview

  • A “+X” indicator if more labels are assigned

  • Full list visible when you expand the Labels section


Filtering Posts by Labels

Labels are especially useful when you need to find specific posts.

How to Filter by Labels

  1. Go to your Posts view (Calendar, List, Grid, or Board)

  2. Click the Filter icon in the top right corner

  3. Navigate to the Labels section in the dropdown

  4. Select one or more labels using the checkboxes

  5. Posts are filtered instantly to show only matching content


What You’ll See

  • Each label shows its color dot for easy identification

  • Post count appears next to each label (e.g., “Summer Sale (12 posts)”)

  • A red indicator dot appears on the filter icon when labels are active

  • Multiple labels can be selected for broader filtering


Clearing Label Filters

To remove label filters:

  1. Click the Filter icon again

  2. Uncheck the labels you want to remove

  3. Or use “Clear All Filters” to remove all filters at once

Managing Your Labels

Accessing Label Management

You can access label management in two ways:

From the post composer:

  1. Open any post

  2. Click Edit post

  3. Expand the Labels section

  4. Click the settings (gear) icon next to the label input

  5. A new tab opens with the label management page for that profile

From Settings:

  • Go to Settings (bottom left) → Profiles → select profile → Labels

⚠️ Heads up: Deleting a label removes it from all posts that had it assigned. This action cannot be undone.


Labels Across Different Views

Labels appear differently depending on the view.

Calendar View

  • Small colored dots appear next to post info

  • Up to 3 labels shown as color indicators

  • Toggle visibility via Additional Actions menu (three dots in top right corner)


List View

  • 1–4 labels visible depending on screen width

  • Large screens (>1536px): up to 4 labels

  • Smaller screens: 1 label + “+X” badge

  • Full labels visible on hover (tooltip)


Grid View

  • Labels are visible only after opening a specific post


Board View

  • Labels appear as compact color-coded badges

  • Useful for quick scanning across status columns


Showing / Hiding Labels

  1. Click More Actions (three dots) in the posts toolbar

  2. Find “Show Labels” in the styling section

  3. Toggle on/off as needed

This setting is saved for your account and persists across sessions.


Troubleshooting

Can’t Create New Labels

What you’ll see: The “Create” option doesn’t appear
Why it happens: Missing permissions

How to fix:

  1. Contact your account administrator

  2. Request manager/admin role

  3. Try again after permissions are updated

Labels Not Showing in Calendar
