What Are Profile Groups?

Profile Groups are curated collections of social media profiles that you can manage as a single unit.

Instead of selecting profiles one by one every time you create or filter content, you simply select a Profile Group and all its profiles are included automatically.

What You Can Include in a Profile Group

Profile Groups support all social media platforms connected to Kontentino:

  • Facebook

  • Instagram

  • LinkedIn

  • Twitter/X

  • Pinterest

  • Google Business

  • Threads

  • YouTube

  • TikTok

💡 Good to know: You can include both personal profiles and global (company-wide) profiles in the same group.


Creating a Profile Group

You can create a Profile Group from either the Dashboard or the Calendar.

From the Dashboard

  1. Click the + Create button in the left navigation panel

  2. Select Profile group

  3. A modal window will open


From the Calendar

  1. Open the Calendar section (or List, Board, or Grid view)

  2. Click the Profile Selector (top-left)

  3. Navigate to the bottom of the selector and click the + Profile group button


Fill Out the Profile Group Form

Once the modal opens:

  • Enter a Profile Group name (required)
    Use a descriptive name (e.g., “Acme Corp - All Channels”, “Q1 Campaign Profiles”)

  • Assign users (optional)
    (See Sharing Profile Groups section)

  • Add a logo (optional)
    Upload an image for quick visual identification

  • Select profiles (required)

    • Browse available profiles

    • Click to add them

    • Use All / None for quick selection

    • At least one profile must be selected

  • Click Create

  • Confirm that you are aware that the assigned users will gain access to all profiles within the profile group

✅ Success: “Profile group successfully created”


Permissions Note

⚠️ You need the admin or manager role to:

  • Create a Profile Group and share it with others

Other roles:

  • Can create Profile Groups from assigned profiles

  • Cannot invite users or connect new profiles


Editing a Profile Group

You can update a Profile Group at any time — including its name, logo, profiles, or assigned users.

How to Edit

  1. Go to the Calendar

  2. Open the Profile Selector (top-left)

  3. Find your Profile Group

    • Use the Profile Groups filter (folder icon) if needed

  4. Click the settings (gear) icon

    • Visible only if you created the group or have permission

  5. Make your changes

  6. Click Edit to save

✅ Success: “Profile group successfully edited”

💡 Tip: You can only edit Profile Groups that you created. Groups shared with you are view-only.


Deleting a Profile Group

You can permanently remove a Profile Group if you no longer need it.

How to Delete

  1. Open the Profile Group edit modal

  2. Click Remove (bottom-left corner)

  3. Confirm deletion

✅ Success: “Profile group successfully deleted”

⚠️ Important:

  • Only the creator can delete the group

  • This action cannot be undone


Sharing Profile Groups with Your Team

When you assign users to a Profile Group, they automatically gain access to all profiles within that group.

Requirements

  • You must have the admin or manager role

  • If you don’t see the user assignment option, contact your administrator


How to Share

  1. Create or edit a Profile Group

  2. Find the Manage users section

  3. Select team members

  4. Click Create or Edit to save

⚠️ Important:
Adding users gives them access to all profiles in the group.

Using Profile Groups in Your Workflow

Selecting a Profile Group

  1. Open any Posts view (Calendar, List, Grid, Board)

  2. Click the Profile Selector (top-left)

  3. Switch to the Profile Groups tab (folder icon)

  4. Select your group

→ All profiles in the group are selected automatically
→ Content is filtered accordingly


Home Quick Access

  1. Go to the Home dashboard

  2. Find Recently used

  3. Switch to Profile groups

  4. Sort by Alphabetical or Used

  5. Click a group to open it directly

💡 Pro tip: This is the fastest way to jump back into your workflow.


Expanding a Profile Group

  • Click the expand arrow next to a group name

  • View all included profiles

Useful when:

  • A profile is disconnected

  • You need to inspect individual profiles


Troubleshooting

Can’t Edit a Profile Group

What you’ll see: No settings icon
Why: The group was shared with you

Fix:

  1. Only the creator can edit it

  2. Contact the creator

  3. Or create your own group


Profile Shows as Disconnected

What you’ll see: Warning indicator + tooltip

Why: A profile lost connection

Fix:

  1. Expand the group

  2. Identify disconnected profiles

  3. Click Connect

💡 You can still create posts, but not publish until reconnected.


Error: “At least one profile must be selected”

Why: No profiles selected

Fix:

  1. Add at least one profile

  2. Try saving again

A: No. Only users within your Kontentino account can access them.

Q: Is there a limit to profiles per group?
A: No hard limit, but recommended: under 20–30 profiles.

Q: Why can’t I assign users to a group?
A: You need admin or manager role and you need to be the creator of the group.
